Part-Time Executive Assistant/Bookkeeper

General Information

In 1979, Alan Farber founded and is still actively involved in Farber Group, which is an independent business advisory firm employing about 250 in Canada. Outside of the firm, Alan has a portfolio of investments for which he needs an Executive Assistant/Bookkeeper.

 

Position Summary

We are seeking an Executive Assistant/Bookkeeper to provide support to Alan on a part-time basis. The incumbent fulfills this role in about 2 days per week on average. Presently this position is completely remote. After the pandemic, occasional meetings with Alan at his office will be required

Flexibility and open availability are crucial to succeed in this role.

Major Responsibilities

Weekly

  • Assisting in the preparation of various correspondence, reports, investment documents, etc.
  • Making deposits and working with bank accounts and balances.
  • Preparing cheques and electronic payments to be processed.
  • Processing and keeping track of donations.
  • Assisting with personal affairs as required, including payments of personal bills. 

 

Monthly

  • Performing bank reconciliations and month-end bookkeeping for investment companies.
  • Updating various schedules including investments, financials, capital gains, partner investments, donations, and others.
 

Annually

Preparing year-end review financial statements and working paper files.

Education/Experience

  • A minimum 5-7 years of experience as an Executive Assistant/Bookkeeper.
  • Professional Administrative Courses or equivalent from two-year community college or University.
  • Certified Bookkeeper or equivalent related experience and knowledge.


Skills Required

  • Strong computer related proficiencies, including Microsoft Office (Word, Excel, and Outlook)
  • Excellent organization and communication skills, including the ability to write and express yourself clearly.
  • Ability to adjust to various types of tasks/demands quickly as well as the ability to work independently to accomplish tasks/demands adequately and efficiently.
  • Time management skills including the ability to prioritize multiple and sometimes conflicting demands and often work under time pressures and deadlines. 
  • Excellent attention to detail.
  • Must demonstrate a can-do attitude.
