Position Summary

We are currently seeking an Operations Clerk to join our Sheppard office. This is a hybrid role and attendance at the office is required at least 2 times per week in addition to any team events, meetings, or training sessions.


Responsibilities

 
  • Send initial notices (electronically) to creditors for all summary bankruptcy (“PB”) and consumer proposal (“CP”) file
  • Send various other statutory forms to creditors, as required (electronically)
  • eFile Final Statements of Receipts and Disbursements to the Office of the Superintendent of Bankruptcy (“OSB”) for review and receipt of Letter of Comment (“LOC”). Review documents for accuracy prior to eFiling
  • Liaise with the OSB regarding any issues with eFiling; follow up on status of LOCs or any outstanding issues
  • Collaborate with Banking Team member for the processing of the final dividend cheques, levies, and trustee’s fees, closure of files and sending of required statutory notices
  • Prepare Form 16 for all PB and CP files
  • Monitor/Review PB and CP files to ensure all cheques have cleared in order to process the Trustee’s Discharges (Forms 16)
  • Co-ordinate with a Licenses Insolvency Trustee to sign Forms 16 and efile them to the OSB
  • Customer Service duties to attend to creditors’ inquiries and requests (phone calls and emails)
  • Sort dividend cheques for mailing and for courier delivery
  • Pick up incoming mail and drop off outgoing mail
  • Scan Proof of Claim forms to third party
  • Scan various documents and upload to digital storage
  • Prepare Affidavits of Service
  • Commission Affidavits of Service
  • Review returned mail, research for new addresses and re-direct mail, as required
  • Generate DC905 forms and arrange for weekly courier to Canada Revenue Agency
  • Prepare Notices of Disallowance for mailing by Registered Mail
  • Digitize (scan and destroy) paper records
  • Send hard copies of notices/documents to creditors
  • Filing of paper documents
  • Monitor SharePoint lists at various stages of a file’s life and complete required processes in a timely manner
  • Input information into clients’ files to schedule pre-authorized payments
  • Other tasks, as may be required
 

Qualifications
 
  • College diploma
  • 3 years of prior customer service experience
  • Call center experience is an asset
  • Experience working in the financial industry is an asset
  • Excellent verbal and written communication skills; excellent spelling and grammar skills
  • Natural ability to recognize and speak to the client’s emotional state
  • Excellent listening skills
  • Ability to build and manage relationships
  • Detail oriented, organized, and effective time management skills
  • Ability to multitask and successfully operate in a fast paced and team environment 
  • Committed and a team player
  • Highly motivated with a strong sense of accountability for their work
  • Ability to work independently with integrity, honesty and ownership.
  • Experience working remotely is an asset
  • Experience with MS Office (Outlook, Excel, Word, Teams) and able to learn new software and applications quickly
  • Strong typing skills
