Position Summary 

Farber Debt Solutions is looking for a highly organized and motivated Marketing Coordinator to support our fast-paced and high-performing marketing team. This role manages key administrative responsibilities by coordinating critical marketing initiatives and providing process, planning, and spend-tracking support that enables accurate budgeting, smooth delivery of operating mechanisms, and consistent team operations. 

This role ensures that marketing workflows, documentation, and repositories remain organized and up to date. The Coordinator plays a central role in maintaining operational excellence, helping the team stay aligned, informed, and efficient across all projects and reporting cycles. 
 

Key Responsibilities 

  • Budget & Finance Support: The coordinator will track marketing spend; update PO and track invoices; reconcile expenses with Finance; flagging variances or missing documentation; prepare monthly budget summaries. The Operations Coordinator will serve as the main liaison between marketing and accounting.  

  • Marketing Project Management Support: Maintain the master marketing calendar via spreadsheets and within OnePlan as applicable, (briefs, approvals, launches, etc.); ensure milestones and dependencies are logged, and coordinate updates with Integrated Marketing and Content leads. Flagging any risks, owning and adjusting workbacks as appropriate/needed. 

  • Annual Planning & Forecasting: Supports the annual marketing planning cycle. Compiles inputs, updates templates, organizes planning sessions, and prepares dashboards for progress tracking. 

  • Repository & Documentation Management: Own organization and version control across SharePoint, Teams, and the Comms Hub; manage file taxonomy, access permissions, and archive protocols to ensure easy retrieval and institutional memory. 

  • Meeting & Operations Logistics: Schedule recurring team meetings (Marketing All-Hands, stand-ups, MQRs); prepare agendas, capture notes and action items, track follow-ups, and maintain a shared “decisions log.” 

  • Process Documentation: Update and publish SOPs, templates, and how-to guides. 

  • Vendor & Contract Coordination: Maintain the vendor master list, collect SOWs, and track renewals, NDAs, and insurance certificates; ensure accurate contract records and signature routing with Legal and Procurement. 

  • Operational Reporting: Owns marketing dashboards and summaries for team metrics (project throughput, budget utilization, planning milestones) and distribute to leadership for visibility. Works with Data team, IT and others to ensure the availability of real-time dashboards for managerial visibility. 

  • Onboarding & Access Management: Coordinate access of marketing documents  for new hires or contractors ensure smooth setup of recurring meetings and shared drives. 

  • Cross-Functional Support: Assist in marketing process alignment with Finance, HR, Procurement, and IT (for tools and licenses); handle special projects that improve team efficiency or data hygiene. 

 

Qualifications 

 

  • 1–3 years of experience in marketing coordination, project management, or operations support within a marketing, communications, or creative environment. Agency or brand experience will work.  

  • Working familiarity with one or more Project Management tools such as OnePlan/Planner, Monday, Clickup, Asana, Wrike, Trello, etc.  

  • Experience managing complex projects that involve multiple key stakeholders and contributors. 

  • Strong administrative and organizational skills with comfort in budget tracking, scheduling, and file management. This role requires a high level of diligence and eye for detail. 

  • Proactive mindset, and eager to build expertise in marketing operations and cross-team collaboration. 

  • Demonstrated ability to problem solve. 

  • Exposure to vendor management preferred.
