Position Summary

The Estate Administrator is a key operational contributor within the Client Management Centre (CMC) Personal Bankruptcy Centre of Excellence (COE). This role is responsible for executing specialized tasks within one or more areas of the Personal Bankruptcy process – such as Tax, Court, Estate Administration, Assets, or SRD – ensuring compliance, accuracy, and efficiency in support of internal stakeholders and clients.

Responsibilities

Operational Execution
 
  • Complete day-to-day activities specific to assigned functional areas (e.g., SRD review, asset realization, preparation of court documents, tax filings, estate documentation, etc.) in accordance with internal procedures and regulatory requirements.
  • Ensure all deliverables meet defined service-level agreements, quality standards, and deadlines.
  • Maintain up-to-date documentation and records in case management systems.
  • Identify and flag any discrepancies or risk areas to your manager promptly.
  • 170 Administration Focus:
    • Conduct seven-month and follow-up file reviews, assessing surplus income obligations.
    • Prepare section 170 reports, oppositions to discharge, automatic discharge certificates, revised notices, and related client correspondence.
    • Facilitate mediations, draft agreements, and liaise with clients and the OSB.
    • Schedule discharge hearings, coordinate with parties, and prepare court packages.
    • Serve Notices of Hearing and Affidavits of Service; prepare supplemental court reports.
    • E-file endorsements and scan court packages into File Assure.
    • Monitor compliance with Conditional Orders and follow up with bankrupts as needed.
    • Enter discharge types and dates into the internal database; e-file and send documents to clients and other parties when required.
    • Request clients’ previous insolvency files from court archives as needed.
    • Perform other duties as assigned.
Collaboration & Communication
 
  • Liaise with internal departments, trustees, legal counsel, and external parties to obtain or clarify information.
  • Support team members with guidance on standard processes and documentation.
  • Participate in team meetings and contribute to a collaborative work environment.
Process & Compliance Support
 
  • Adhere to company policies, compliance protocols, and relevant legislation governing insolvency proceedings.
  • Identify process inefficiencies and contribute to continuous improvement discussions.
  • 170 Administration Focus:

    • Facilitate mediations, draft agreements, and liaise with clients and the OSB.
    • Schedule discharge hearings, coordinate with parties, and prepare court packages.
    • Serve Notices of Hearing and Affidavits of Service; prepare supplemental court reports.
    • E-filing endorsements and scanning court hearing packages into File Assure.
    • Monitoring and following up with bankrupts regarding terms of Conditional Orders for compliance.
    • Entering discharge types and dates into internal database once Court Orders are received from court; e-filing and sending to clients and any other party when required.
    • Requesting a client’s previous insolvency files from the court’s archives when required for discharge hearings.
    • Other duties as assigned.
Qualifications
 
  • 2–4 years of experience in personal bankruptcy, insolvency administration, legal support, or a related operational field.
  • Post-secondary education with a focus in accounting, business, finance, or a related field preferred.
  • Working knowledge of insolvency processes and legal documentation is an asset.
  • Strong attention to detail and a commitment to accuracy and compliance.
  • Proficiency with Microsoft Office and case management systems.
  • Strong written and verbal communication skills.
  • Ability to manage workload independently while contributing to a team environment.
