Professional Summary

The Marketing Operations Manager supports the operational infrastructure that enables the Marketing organization to plan, coordinate, execute, and optimize integrated marketing initiatives at scale.

Reporting to the Sr. Manager, Integrated Marketing, this role helps drive the systems, workflows, planning rhythms, reporting structures, and operational processes that support coordinated campaign execution and organizational efficiency.

The Marketing Operations Manager plays a central role in enabling operational excellence across the Marketing department by ensuring workflows, planning systems, reporting structures, repositories, and operational governance mechanisms remain scalable, organized, and execution-focused.

The role operates within a highly collaborative, deadline-driven environment that requires strong prioritization skills, sound judgment, and the ability to maintain operational clarity across competing priorities and stakeholders.

Responsibilities
Marketing Planning & Workflow Coordination
  • Own the integrity and day-to-day administration of the marketing department’s planning software and related marketing project management systems, including workflows, master calendars, dependencies, workbacks, reporting structures, and operational tracking across integrated marketing initiatives.
  • Monitor execution health, identify operational risks or dependency conflicts, and proactively drive follow-through across stakeholders to maintain delivery timelines and workflow continuity.
  • Lead cross-functional marketing project coordination involving senior contributors and functional leads, ensuring deadlines, approvals, dependencies, and operational deliverables are effectively managed.
  • Support campaign launch readiness by ensuring approvals, dependencies, asset readiness, and operational requirements are completed and visible across stakeholders.
Operational Rhythm & Planning Support
  • Organize and operationalize annual and quarterly marketing planning processes within the marketing departments’ planning software, including timelines, coordination activities, intake consolidation, stakeholder alignment, documentation, deliverables and meetings such as Quarterly Business Reviews, progress tracking, and planning system administration.
  • Compile planning inputs, maintain templates, coordinate planning sessions, and prepare progress tracking materials.
  • Facilitate recurring operational rhythms including all-hands meetings, status reviews, retrospective discussions, campaign reviews, and operational reporting sessions.
  • Prepare agendas, maintain action logs and decisions registers, and track follow-ups across operational meetings.
Budget & Operational Administration
  • Support marketing financial operations including invoice tracking, IO coordination, reconciliation support, accrual tracking, and monthly budget reporting.
  • Ensure accuracy, completeness, and operational integrity across financial documentation, budget artifacts, operational trackers, and reporting records.
  • Partner with Finance and Campaign Delivery to maintain accurate operational records and budget visibility.
  • Maintain vendor records, SOW documentation, renewal tracking, NDAs, and contract routing coordination.
  • Support administrative coordination related to tools, subscriptions, licenses, and vendor documentation.
Reporting & Operational Visibility
  • Prepare operational dashboards and reporting summaries within and outside of OnePlan related to project health, budget utilization, planning milestones, and operational KPIs to support prioritization, planning, and optimization discussions.
  • Support leadership reporting and preparation for quarterly business reviews, campaign reviews, and optimization discussions.
Repository & Documentation Governance
  • Own repository structure and operational documentation standards across SharePoint, Teams, OnePlan, Marketing Hub repositories, and shared operational systems.
  • Manage file taxonomy, version control, archive protocols, and documentation standards to support institutional knowledge retention, operational continuity, and scalable coordination.
  • Develop and maintain SOPs, workflow documentation, templates, checklists, and operational process guides to reinforce execution consistency and workflow discipline.
  • Coordinate onboarding logistics, document access, shared drives, and recurring meeting setup for new team members and contractors.
Qualifications
  • 5–8 years of experience in marketing operations, integrated marketing, campaign operations, or marketing workflow coordination within a marketing, communications, agency, or creative environment with direct exposure to campaign execution, stakeholder coordination, and marketing planning processes.
  • Experience coordinating cross-functional projects involving multiple stakeholders, including senior contributors and external partners, in fast-paced marketing or campaign-driven environments.
  • Strong experience working within marketing project management and workflow platforms such as OnePlan, Planner, Monday.com, ClickUp, Asana, Wrike, or similar systems, including workflow administration, project tracking, reporting, and operational coordination.
  • Strong organizational, coordination, and operational administration skills with exceptional attention to detail, process discipline, and documentation accuracy.
  • Demonstrated ability to manage multiple timelines, dependencies, workflows, and operational priorities simultaneously while maintaining strong follow-through and accountability.
  • Strong written and verbal communication skills.
  • Strong operational judgment, prioritization capabilities, and problem-solving skills, with the ability to proactively identify risks, gaps, and process improvement opportunities.
  • Experience working within integrated marketing teams, agency environments, or campaign-driven organizations is strongly preferred.
  • Exposure to vendor coordination, budgeting processes, or repository/documentation management preferred.
